Vendor Registration and Refund Policy
All Vendor Registrations Are Final Sale
All vendor registrations, booth purchases, table purchases, sponsorships, rentals, upgrades, and add-ons are final sale immediately upon payment.
There are absolutely no cancellations, refunds, credits, transfers, exchanges, rollovers, or payment reversals for any reason.
By completing payment, the vendor acknowledges that the space has been reserved specifically for their business and may no longer be available for purchase by another vendor.
Inability to Attend
If a vendor becomes unable to attend, they must notify Liquid Games in writing as soon as possible. Notification allows the event team to plan accordingly but does not constitute a cancellation and does not entitle the vendor to a refund, credit, transfer, or future event placement.
Personal emergencies, family emergencies, illness, injury, transportation problems, staffing issues, scheduling conflicts, travel disruptions, weather concerns, inventory issues, business difficulties, or any other change in circumstances do not qualify for an exception.
No-Shows and Failure to Communicate
Vendors who fail to arrive and check in by the stated deadline will be considered a no-show.
No-shows will not receive a refund, credit, transfer, or compensation.
Failure to communicate an absence before check-in closes will be documented as an uncommunicated no-show.
Uncommunicated no-shows may result in the vendor being denied participation in future events.
Once check-in closes, the booth may be reassigned or removed without notice.
Arriving after the booth has been released does not require Liquid Games to provide the original booth, an alternate space, a refund, or a credit.
All attendance issues must be communicated through the designated vendor email. Social media messages, comments, messages to employees’ personal accounts, or verbal conversations do not constitute official notice.
Transfers, Resale, and Substitutions
Vendor registrations belong solely to the business approved during registration.
Booths may not be sold, transferred, reassigned, shared, gifted, or given to another individual or business. Vendors may not independently find a replacement vendor or substitute another business in their place.
Unauthorized transfers, booth sharing, resale, or substitutions may result in removal from the event without a refund and may affect the future eligibility of everyone involved.
Late Arrival and Missed Load-In
Vendors are responsible for reviewing and following all check-in and load-in instructions.
Late arrival, missed load-in, use of an unauthorized entrance, failure to bring required equipment, incomplete setup, inadequate staffing, or failure to follow venue procedures does not qualify for a refund, credit, transfer, or accommodation.
Admission and setup after the stated deadline are not guaranteed.
Removal or Denial of Participation
No refund or credit will be issued if a vendor is denied entry, removed, or prohibited from participating because of:
Violation of event or venue policies
Misrepresentation on an application or registration
Unauthorized merchandise or activities
Counterfeit, illegal, unsafe, prohibited, or undisclosed products
Harassment, threatening behavior, disruption, or unsafe conduct
Failure to provide required licenses, permits, insurance, forms, or documentation
Failure to follow staff, security, fire marshal, or venue instructions
Unauthorized booth transfers, sharing, resale, or substitutions
Failure to complete setup or arrive by the required deadline
Any conduct that creates a safety, legal, operational, or reputational concern
Removal or denial of participation may also affect eligibility for future events.
Event and Booth Changes
Booth assignments, floor plans, entrances, load-in procedures, operating hours, venue areas, neighboring vendors, event programming, and other logistical details are subject to change.
Changes to placement, layout, entrances, parking, vendor neighbors, event hours, programming, or venue operations do not qualify for a refund or credit.
Liquid Games does not guarantee:
A specific booth or section
Proximity to an entrance or attraction
A particular neighboring vendor
Attendance or customer traffic
Visibility, sales, revenue, or business performance
Exclusivity for any product or business category
Dissatisfaction with booth placement, attendance, traffic, sales, neighboring vendors, or event performance does not qualify for compensation.
Event Postponement, Relocation, or Modification
If an event is postponed, rescheduled, relocated, shortened, interrupted, or modified, the vendor registration will remain valid for the updated event unless otherwise stated by Liquid Games.
A change in date, time, location, layout, entrance, venue area, or event format is not considered a cancellation and does not entitle the vendor to a refund, credit, or transfer.
If an event is affected by weather, government action, public safety concerns, venue restrictions, utility failure, emergency conditions, acts of God, or circumstances outside the reasonable control of Liquid Games, refunds are not guaranteed.
Liquid Games is not responsible for any travel, lodging, shipping, staffing, inventory, preparation, rental, or other expenses incurred by a vendor.
Payment Disputes and Chargebacks
Vendors must contact Liquid Games directly regarding any billing concern before initiating a payment dispute or chargeback.
Initiating a chargeback does not override this final-sale policy. Liquid Games reserves the right to provide the payment processor with the vendor’s application, invoice, payment confirmation, policy acceptance, event communications, booth assignment, and attendance records.
Fraudulent, inaccurate, or unjustified chargebacks may result in permanent ineligibility for future events and may be pursued for recovery of the original payment, chargeback fees, administrative costs, and any other amounts permitted by law.
Acknowledgment and Acceptance
By submitting payment, the purchaser confirms that they have read, understood, and accepted this policy in full.
The purchaser is responsible for sharing all event policies and instructions with every employee, partner, assistant, and representative attending on behalf of the registered business.
No verbal conversation, social media message, informal communication, or prior exception changes this agreement. Any modification must be issued in writing by an authorized representative of Liquid Games.
All vendor registrations are final. There are no cancellations, refunds, credits, transfers, exchanges, or rollovers for any reason.
